Tech for CFO, Inc. ("we," "us," or "our") operates LedgerProof (the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have. We have written it to match exactly how the Service works.

1. The Short Version

• LedgerProof connects to QuickBooks Online with read-only access. We do not modify your books.
• You own your data and the output we generate for you. You can export it freely.
• We do not use your data to train, fine-tune, or improve any AI or machine-learning model.
• We do not sell your data, and we do not share it with third parties for their own purposes.
• We share data only with the subprocessors needed to run the Service (hosting, payments, email).
• Your data is encrypted at rest. You can disconnect and delete your data at any time, and we will delete it on request.

2. Information We Collect

a) Information You Provide

• Account information: name, email address, and company name
• Billing information: processed by our payment processor; we do not store full card numbers

b) QuickBooks Data

When you connect QuickBooks Online, we access — with read-only scope — the accounting data needed to generate your reports and Output (for example, transactions, ledger balances, customers, vendors, and items, depending on the product). We use this data only to produce your results and operate the Service.

c) Information Collected Automatically

• Usage and device data: basic log data such as IP address, browser type, and the pages or features you use, collected to operate, secure, and improve the reliability of the Service.

3. How We Use Your Information

We use the information we collect to:

• Provide, operate, and maintain the Service and generate your Output
• Authenticate you and administer your account
• Process payments and manage your subscription
• Respond to your requests and provide support
• Secure the Service and detect or prevent fraud and abuse
• Comply with legal obligations

We do not use your QuickBooks data or your Output to train, fine-tune, develop, or improve any artificial-intelligence or machine-learning model, and we do not create training datasets from it.

4. How We Share Information

We share information only with subprocessors that help us deliver the Service, and only as needed for that purpose:

• Cloud hosting — to run the Service and store data
• Payment processing — to bill paid plans
• Email delivery — to send transactional and account email

These subprocessors are bound by contract to process data only on our instructions. We do not sell your data, and we do not share it with third parties for their own marketing, advertising, or other independent purposes. We may disclose information if required by law or to protect the rights, safety, or property of our customers or us. If our business is involved in a merger or acquisition, we will provide notice before your information becomes subject to a different privacy policy.

5. Data Security

We protect your information using industry-standard safeguards, including:

• Encryption of data at rest
• Encryption of data in transit (TLS)
• Access controls limiting who can access data
• Secure handling and storage of QuickBooks OAuth tokens

No system is perfectly secure, but we work to protect your information at every layer.

6. Data Retention and Deletion

We retain Your Data only as long as needed to provide the Service. You can disconnect QuickBooks and delete your data at any time from within the Service, and you can ask us to delete your data by contacting hello@techforcfo.com. When you disconnect or request deletion, we revoke our access and delete Your Data, removing it from active systems promptly and from backups on our normal backup-rotation schedule. We do not retain anonymized or aggregated derivatives of your data for model training.

7. Your Privacy Rights

Depending on where you live, you may have the right to access, correct, export, or delete your personal information, and to object to or restrict certain processing. To exercise any of these rights, contact us at hello@techforcfo.com. We will respond within the time required by applicable law. We will not discriminate against you for exercising your rights, and because we do not sell or share your data, there is nothing to opt out of in that respect.

8. International Users

We operate in the United States. If you access the Service from outside the United States, your information will be processed in the United States. We rely on appropriate safeguards for any such transfers.

9. Children's Privacy

The Service is intended for businesses and is not directed to children under 13. We do not knowingly collect personal information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will update the "Last Updated" date above and, for material changes, provide additional notice where appropriate.
